The East Shore Internet Society (ESIS) is an incorporated not-for-profit internet society formed with the goal of bringing affordable and reliable high-speed internet service to Crawford Bay and surrounding central Kootenay Lake communities on the East Shore.

ESIS is seeking a highly organized and detail-oriented Office Manager to join our team working approximately 25 – 35 hours per week, Monday through Friday. Remote work is feasible as with hours required at the ESIS Crawford Bay office on an occasional basis.

The ideal candidate will be adept at maintaining accurate financial records, managing office operations, and ensuring payroll is processed efficiently and in compliance with all regulatory requirements. This role requires a proactive individual who can multitask, adapt to various duties, and work comfortably in a collaborative, team environment.

Key Responsibilities:

  • Manage office administration and member services to ensure the efficient registration of new member accounts, accurate recording of payments, and prompt responses to Billing and New Service tickets.
  • Coordinate with vendors, service providers, and ESIS staff to ensure a smooth workflow.
  • Manage accounts payable and receivable, ensuring timely payment and collection.
  • Reconcile bank accounts and manage cash flow.
  • Maintain accurate and up-to-date ledgers, journals, and financial statements.
  • Prepare monthly and annual financial reports for Board review.
  • Budget preparation and financial forecasting.
  • Knowledge of fixed assets classifications and DD&A.
  • Accurate classification and reporting of operating versus project expenditures.
  • Prepare submission of grant claims with adherence to established guidelines.
  • Process bi-weekly payroll for all employees, ensuring accuracy and timeliness.
  • Maintain employee payroll records, including hours worked, and deductions.
  • Stay updated with payroll regulations to ensure compliance.
  • Prepare and file necessary payroll ROE, tax documents and reports.

Qualifications:

  • Bachelor’s degree in Business Administration, Accounting, or related field is an asset.
  • Proven experience as an Office Manager, full cycle bookkeeper, or a similar role.
  • Proficient with software applications including QuickBooks and Microsoft Office Suite, particularly Excel.
  • Strong understanding of bookkeeping practices and payroll regulations.
  • Excellent organizational, time management, and communication skills.
  • High level of accuracy and attention to detail.
  • Ability to handle sensitive and confidential information with discretion.

Starting Wage:

$25 – $28 per hour
